Our Service Crew makes Camp EPIC happen — the heartbeat of the event, keeping everything running smoothly and making sure every camper has an unforgettable experience. From logistics and activities to behind-the-scenes magic, this incredible team brings the EPIC spirit to life.

Roles are available for Rangers and Young Leaders aged 14+, as well as volunteers, leaders, Trefoil Guild members and Inspire members — there’s something for everyone who wants to be part of the adventure.

👥 Who can apply to be on the Service Crew?
Anyone aged 14+ from anywhere in Devon who is a member of Girlguiding. You don’t need any special qualifications — just enthusiasm, initiative and a willingness to help make Camp EPIC amazing!~

📝 How do I apply to be on the Service Crew?
You can apply by completing our online Microsoft Form. 🗓️ When is the deadline to apply for the Service Crew?
The deadline to submit your Service Crew application is 28th February 2026.
Applications received after this date may not be considered, as we need time to allocate roles, confirm places and organise training, catering and camping arrangements — so please apply before the deadline to make sure you're included!

Are Service Crew ratios being covered centrally or do Service Crew need to bring leaders with them?
Service Crew do not need to bring leaders with them, as there will be sufficient adults present at the event. Leaders may also be involved with supporting other units during the camp.

Are Rangers included in unit ratios?
Rangers are not generally included in unit ratios. However, for adventure activities (such as archery), the required ratio of 1 adult to 12 young people will be met centrally by Camp EPIC.

Is this the same for Young Leaders and Rangers aged 14–17?
Yes. The same arrangements apply for Young Leaders and Rangers aged 14–17.

Do the individual girls fill in their own applications / who completes the paperwork?
Paperwork can be completed by the member themselves, although some may need support from a leader and consent from an adult. This will be managed on an individual basis.

🎟 Do I have to be a Leader or Young Leader to be part of the Service Crew?
No! The Service Crew is open to Young Leaders (14–18), Rangers, Leaders, Trefoil members, Occasional Helpers and any adult volunteer — as long as you're happy to get involved, support the event and be part of a fun, visible team.

🏕 Will I camp with my unit or with the Service Crew?
You can choose! You can camp with your own unit or camp with the Service Crew. We’ll ask your preference on the application form. Service Crew camping will have its own designated area with shared social space.

💰 Is there a cost to be on the Service Crew?
Yes, there will be a small cost to cover food and refreshments for the weekend. The cost will be £50 per individual and this includes main meals, snacks and drinks throughout the event.

🍔 Are meals included?
Yes! Your Service Crew fee includes all your meals from arrival to departure.

🛌 If I’m selected to be part of the Service Crew, do I need to bring my own tent?
Service Crew members can camp on site, which is included in the £50 Service Crew fee. You’re welcome to bring your own tent, share a tent with other Service Crew members, or — if you don’t have your own equipment — we can help arrange tentage for you. Just let us know what you need when sending in your application.

🛌 I’d like to be part of the Service Crew but would prefer to sleep indoors — what are the sleeping arrangements?
Service Crew members can choose to sleep in indoor accommodation if they wish. This will be in twin or triple bedrooms in the Coach House. Please note that rooms may be shared. The cost for indoor accommodation is £100, which replaces the £50 Service Crew camping fee.

🕒 What will I be expected to do?
You’ll be part of a team helping with arrivals, departures, mealtimes, ceremonies, evening entertainment, activity support, communication, information points, and being a friendly visible presence throughout camp. Find out more about the role here.

📅 When do I need to arrive?
Service Crew will arrive before general campers to help set up and welcome arriving units. Final timings will be confirmed closer to the event, but expect to arrive early on Day 1.

📚 Will I get training or support for my Service Crew role?
Yes! You won’t be left to figure things out on your own. There will be daily briefings, training and support for all Service Crew members — especially for any roles that need specific skills or responsibilities. You’ll be fully supported by the camp team, and you’ll always have someone to ask if you’re unsure of anything.

👕 Will there be a Service Crew uniform or hoodie?
Yes! We’re planning a distinctive Service Crew look (more information to come) — to help you be easily recognised and add to the fun atmosphere.

🎓 Can I use this towards DofE or Young Leader qualification?
Absolutely! Many of the roles count towards DofE volunteering, Young Leader Module tasks, Ranger skill builders or even adult leadership development. Talk to your Leader or Advisor to link it.

📄 Will I need a permission form if I’m under 18?
Yes. If you’re under 18, we’ll need parent/carer consent and emergency contact details. These will be collected after your application is accepted.

🔎 What kind of people are you looking for?
Friendly, team-minded people who can take initiative, solve problems, communicate clearly — and help make camp fun, safe and EPIC!

📝 When will I know if I’ve been accepted?
We will confirm all Service Crew places after the application deadline. You’ll receive details of your role, timings, and what to bring.

💙 What will I get out of it?
Confidence, teamwork experience, leadership skills, new friends, memories to last a lifetime — and the chance to help make Camp EPIC unforgettable for hundreds of girls across Devon.

🦸‍♀️ Do I have to wear fancy dress to be on the Service Crew?
Not at all! We want the Camp EPIC Service Crew to help create fun, excitement and a great atmosphere — and for some people, that might include wearing fancy dress or something eye-catching. But it’s not compulsory at all. We're simply looking for enthusiastic volunteers who are willing to get into the spirit of camp, be visible, bring smiles and spread positivity. Whether that means fancy dress, a bright hat, themed accessories or just your happy self — it’s entirely up to you!

What do I do if I have Rangers aged 14+ and/or Young Leaders who wish to be Service Crew, how do I book them in? If you have Rangers, Young Leaders or you yourself are a volunteer aged 14+ who would like to join the Camp EPIC 2026 Service Crew, please note that there is a separate booking process for this role and the Service Crew Application Form can be found here. Please only complete the participant booking form for girls and/or adult members attending as visitors to camp.
