FAQs: Bookings & Payments
Who should make a booking?
Unit bookings will be managed via unit leaders. Each lead booker will make a booking using an online form. Individual bookings can be made by the adult members themselves.
Costs are outlined in the table below. The cost per individual will include accommodation (indoor/outdoor), activities, and meals.

Can I pay in instalments?
Yes. Payments will be made in three stages:
- a non-refundable deposit by 1st December 2025;
- 50% of the balance by 31st March 2026 with final figures; and
- the final payment by 31st May 2026.
How much is the deposit?
The deposit payment for a unit booking is £100 per booking.
The deposit payment for an individual booking is £20 per booking.
How do I pay?
Payments can be made by bank transfer or by cheque. An online payment can be made to CAF Bank, Devon County Guides Association, Sort 40-52-40 Account 00024442. If you are not able to make a payment online then please write a cheque made payable to ‘DEVON COUNTY GUIDES ASSOCIATION’ and post to: County Camp Administrator, Trefoil Lodge, Buddle Lane, EXETER, EX4 1JP. Please include "County Camp" and your name/ lead bookers name either as an online reference or on the back of your cheque.
What if I need financial support?
We don’t want cost to be a barrier to anyone taking part in Camp EPIC 2026. A number of support options are available:

Girlguiding hardship funds at unit, division, county, and sometimes region / national level.

Grants and sponsorship we are applying for grants and sponsorship to help reduce costs for families who need it.

Flexible payment plans, with units allowing staged payments spread over several months.
If you are worried about affordability, please speak confidentially to your unit leader. Together, we’ll explore the best way to make sure every girl who wants to come has the opportunity.
What if I cancel my booking?

What do I do if I have Rangers aged 14+ and/or Young Leaders who wish to be Service Crew, how do I book them in?
If you have Rangers, Young Leaders or you yourself are a volunteer aged 14+ who would like to join the Camp EPIC 2026 Service Crew, please note that there will be a separate booking process for this role. Please only complete the participant booking form for girls and/or adult members attending as visitors to camp.

What happens after I’ve made a booking?
Thank you for your booking! Communication with unit leaders is an important part of our planning process, so besides letting you know when further payments are due, we’ll also be in touch with all the key information you, your parents, and your girls need to know. You’ll hear from us through several channels, including:

Why has the Camp EPIC 2026 ticket price changed?
The event ticket price has been updated to ensure we can fully cover the costs of delivering an amazing weekend for everyone. As plans have developed and we’ve confirmed details with suppliers and activity providers, we’ve adjusted the price to reflect the true cost of running a large-scale event safely and sustainably. If you’ve already booked and would prefer not to attend at the updated price, you can request a full refund by contacting us at campepic2026@devonguides.org.uk before 30th November 2025.
